Area9 IT Solutions (‘Area9’ ‘us’ ‘we’) is committed to providing quality services to our customers and this policy outlines how we manage personal information.

Personal information we collect and why do we collect it

The type of information we may collect includes names, addresses, phone numbers, email addresses, profession or occupation, Internet Protocol (IP) address, company or organisation name, payment and billing information, account login details and other contact details, photo identification, and other information that you provide us during the course of business.

When you visit our premises personal information collected via electronic visitor management system includes, name, email address, phone, location, purpose of visit, date and time of entry/exit, and photo identification, and images of you may be captured on CCTV.

We also collect resumes and work history details, educational qualifications, of potential employees. 

We do not generally collect or store ‘sensitive information’ such as ethnic origin, religious or philosophical beliefs, political opinion or health information.

Area9 may be required to collect personal information under the Telecommunications Act 1997 and laws made under it, including as required by the Telecommunications (Interception and Access) Amendment (Data Retention) Act 2015.

Personal information collected under Data Retention Law includes subscriber and account details, the source and destination of a communication, the date, time and duration of a communication, or of its connection to a relevant service, the type of communication and the location of equipment, or a line used in connection with a communication.

Personal information is collected for the purpose of:

  • providing our products and services, this may include:  identifying customers or potential customers and their representatives, carrying out management, administrative, quality assurance and complaint handling, fulfilling orders or service requests, communicating with you about your account, purchases,  delivering customer service, providing support services and resolving your information technology problems, sending updates, offers, or other relevant information, informing you or others of technology solutions, seeking your opinion about our products and services. We may not be able to supply our products and/or services if you we are not provided with all the personal information we request;
  • to facilitate the use or management of our technology systems;
  • for visitor management purposes, including: verifying identity, issuing visitor badges or passes, maintaining records of visits, ensuring compliance with safety, security, and regulatory requirements. All visitors are required to provide personal information to gain entry to certain areas of our premises and entry may be denied if all of the required personal information is not provided to us;
  • complying with the law as required, including the Data Retention Law.

How we collect personal information

Generally, we collect an individual’s personal information from that individual. For example we collect personal information when you make an enquiry about our products and services, or when you order our products and services via whatever means you order from us including through our online store, and/or in the provision of our products or services, and we also collect personal information when you sign in via our visitor management system to gain entry to our premises.

We may also collect personal information from someone other than the individual, for example from companies with whom you work, other organisations with whom you have dealings, information service providers or from publicly maintained records.

Security of personal information

We take all reasonable steps to keep your personal information secure. We store information in different ways, including on paper and electronically. In some cases, we may engage third parties to host electronic data on our behalf. Protecting your personal information matters to us, and we take all reasonable steps to secure it and protect it from misuse, corruption, loss, unauthorised access and unauthorised disclosure.

Our employees are contractually bound to respect the confidentiality of any personal information held by us. Our employees must adhere to company policy to maintain the secrecy of Area9 system access credentials (ie. user name and password).

Area9 also maintains physical security procedures to manage and protect access to our premises and the use and storage of records containing personal information.

Use and disclosure of personal information

We use and disclose the personal information we collect for the purposes indicated above, and for other secondary purposes.

We usually disclose the personal information we collect to:

  • our team members, third party service providers, suppliers and contractors, professional advisers with whom we have a commercial relationship for supply of our products and services, for example but not limited to: Information Technology & Communication (ICT) manufacturers, suppliers or vendors who supply products and services to us that we in turn distribute or resell to you, or who help resolve technical problems, or to third party contractors to resolve technical problems or install equipment at a customer site on our behalf;
  • third party suppliers or service providers to facilitate the use or management of our technology systems;
  • we may be contractually required or have a statutory obligation to disclose personal information we collect to auditors who conduct audits of our business and services, or to government agencies;
  • to a third party involved in a dealing or proposed dealing (including a sale) of all or part of our assets and business;
  • to a third party creditor or a financial institution; or
  • the disclosure is permitted, required or authorised by or under law.

Where we disclose your personal information in accordance with this policy, to service providers or suppliers that are located outside your home country, we will take all reasonable steps to ensure your personal information is secure and stored in a manner that reasonably protects it from loss and misuse.

We may use personal information to advise the individual concerned of new products or services or general information about us. Customers can ask to be removed from the relevant circulation list by contacting Area9 sales@area9.com.au;

Access to your personal information

You may access the personal information we hold about you to update and/or correct it, subject to certain exceptions. Exceptions may include: the access affects the privacy of others; the request for access is frivolous or vexatious; there are existing or anticipated legal proceedings; or such access can be denied under law or by a law enforcement agency.

Area9 will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your personal information.

In order to protect your personal information we may require identification from you before releasing the requested information.

Maintaining the quality of your personal information

It is important to us that your personal information is up to date. We will take reasonable steps to make sure that your personal information is accurate, complete and up to date. If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
